- Phone verification: During registration, we verify your mobile phone number by sending a one-time 6-digit code via Twilio Verify, a separate verification service. This code is sent from a Twilio-managed number, not our toll-free number.
- Demo interaction (Customer Care SMS): During the live AI voice demo call, our AI receptionist may send an SMS from our toll-free number +1 (833) 338-0776 to your mobile phone to collect fictitious test patient details (e.g., a made-up name, date of birth, and email) as part of the Human-in-the-Loop demonstration workflow. This data is entirely for demo purposes and does not represent real patient information.
- Delivering the demo: We use your phone number to place the AI voice call via our telephony partner (Retell AI) and to provide the remote desktop session showing OpenDental software.
- Phone calls: By providing your mobile phone number, you consent to receiving phone calls from us at that number, including automated AI voice calls as part of the demo experience and follow-up calls regarding our products and services.
- Communication: We may use your email to send follow-up information about FlatCap.AI's products and services.
4. SMS/Text Messaging
By providing your mobile phone number and registering for the demo, you consent to receive SMS text messages from us. Our toll-free number +1 (833) 338-0776 is used exclusively for customer care messages during the demo call (not for verification codes). The following details apply:
- Message frequency: You will receive approximately 1–2 SMS messages from our toll-free number per demo session, sent during the AI voice call to facilitate the demo interaction.
- Message and data rates may apply. Your carrier's standard messaging and data rates apply to any SMS messages sent or received.
- No mobile number sharing: We will not sell, rent, loan, trade, lease, or otherwise transfer for profit any phone numbers or personal information collected through our SMS program to any unaffiliated third party for that third party's own marketing purposes.
- Opt-out: You may opt out of SMS messages at any time by replying STOP to any message. After opting out, you will receive a final confirmation message and no further SMS messages will be sent.

5. Data Storage and Security
Your information is stored securely in Supabase, a cloud-hosted database platform. We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Demo sessions are limited to a maximum of 15 minutes, after which session data associated with the remote desktop environment is cleared.

We use the following third-party services to deliver the demo experience:
- Retell AI: Powers the AI voice call placed to your phone during the demo.
- Twilio: Delivers SMS messages for phone verification and demo interactions.
- Supabase: Provides secure database hosting for user registration data.
- Apache Guacamole: Provides the remote desktop session to display the OpenDental software interface.

7. Data Retention
We retain your registration information (name, practice name, email, and phone number) for the purpose of follow-up communication and service improvement. Demo session data, including any fictitious patient information created during the demo, is not retained long-term and may be cleared periodically.
